Prism Promo Inc. (“Prism Promo”, “we”, “us”) respects your privacy. This policy explains what personal information we collect, why we collect it, how we protect it and the choices you have. It applies to prismpromo.ca, our emails and the work we do for clients. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti Spam Legislation (CASL).
Who is responsible for your information
Prism Promo Inc. is a branded merchandise agency based in Toronto, Ontario. Our founder, Valerie Blackstock, is accountable for how we handle personal information. You can reach her at info@prismpromo.ca.
What we collect
We only collect what we need to answer you and deliver great work.
- When you contact us: your name, email address, the subject of your message and anything you choose to tell us about your project.
- When you become a client: your name, company, business contact details, billing information, project details and the artwork or brand files you share with us.
- Gift and kit recipients: when a client asks us to ship merchandise or gifts, we receive the names, shipping addresses and sometimes sizes or preferences of the people receiving them. We use this information only to fulfil that order.
- Email subscribers: your name and email address if you sign up for or agree to receive our updates, such as The Edit.
- Basic website data: like most websites, our host automatically records technical information such as your IP address, browser type and the pages you visit, to keep the site secure and working properly.
We do not knowingly collect sensitive information, and we do not sell personal information to anyone.
How we use your information
- To reply to your enquiries and send quotes, proofs and project updates.
- To source, decorate, pack and deliver your order, including shipping gifts to your recipients.
- To invoice you and keep accurate business records.
- To send you our updates and ideas, only when we have your consent. Every marketing email includes a simple way to unsubscribe.
- To keep our website secure and improve how it works.
Who we share it with
We share personal information only with trusted partners who help us do the work, and only what they need:
- Suppliers and decorators who produce and brand your merchandise.
- Shipping and courier companies who deliver orders to you or your recipients.
- Service providers who host our website, deliver our email and store our files.
- Professional advisors such as our accountant, and authorities when the law requires it.
We expect our partners to protect your information and to use it only for the purpose we shared it.
Information stored outside Canada
Some of our service providers, including our website host, store or process information in the United States or other countries. When that happens, your information may be subject to the laws of those countries, and authorities there may be able to access it.
Cookies and third party content
Our website uses a small number of cookies that it needs to function. We do not use advertising or tracking cookies. Some pages include content from other companies, such as Google Maps on our contact page, Google Fonts for our typography and LinkedIn for embedded videos. These companies may collect information such as your IP address when that content loads, according to their own privacy policies. You can block or delete cookies in your browser settings.
How we protect your information
We use reasonable physical, administrative and technical safeguards, including secure (HTTPS) connections, password protected accounts and access limited to the people who need it.
How long we keep it
We keep personal information only as long as we need it for the purpose we collected it, or as long as the law requires, for example for tax records. Recipient shipping details are kept only as long as needed to complete and support the order. After that, we securely delete or anonymize it.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to marketing emails at any time. To make a request, email info@prismpromo.ca. We will respond within 30 days.
If you have a concern, please contact us first so we can make it right. You also have the right to contact the Office of the Privacy Commissioner of Canada.
Children
Our website and services are intended for businesses and are not directed to children. We do not knowingly collect personal information from children.

We may update this policy from time to time. The latest version will always be on this page, with the effective date at the top.
